Guide
How do you schedule a meeting across calendars and time zones?
Compare free time on every calendar, convert it to each person’s time zone, and book a slot that fits all of them. Do it by hand with a proposal thread, or let a scheduling link read the calendars and offer only the overlap.
By hand
Propose two or three times, each written with a zone, and wait. It works for one meeting but costs a round of replies, and a mistake in the conversion is easy to make.
With a poll
A group poll shows each person’s availability on one grid. It suits many participants choosing a date, but it asks everyone to respond and does not block time on calendars.
With a scheduling link
A link reads your calendar, hides anything you are busy for, and shows the guest only open slots in their own zone. Look for calendar sync in both directions, buffers between meetings, and a rule for who takes a booking in a team.
A worked example: MeetSynq
MeetSynq is a link-based scheduler. It syncs Google Calendar, Outlook and Apple Calendar, closes a slot when any of them shows busy time, shows guests the hours in their own zone, and puts the invite on both calendars with a Google Meet or Zoom link.
For teams it can route each booking round-robin or require the whole group. It can also be deployed white-label, under another firm’s name and domain.
